Guide / People and access
Members and roles
Add people to a workspace and decide what each role may do.
Everyone works inside a workspace, and what they may do there is decided by their role. Open the workspace menu in the top bar and choose Settings to see its members and roles.
Add a member
- Press + Add member.
- Type a @username, a name or an e-mail; the list narrows as you type. Pick the person.
- Choose a role and press Add.
The person must already have an account. For someone who does not, use an invitation link (next article). You can change a member’s role from the list or remove them.
Roles and permissions
A role is a name and a set of permissions. The built-in Owner role has all of them and cannot be edited. Press + New role to make your own, or Edit on an existing one.
| Permission | Lets a person |
|---|---|
| Manage members | Add, remove and change the role of members; create invitation links. |
| Manage roles | Create, edit and delete roles. |
| Manage workspace settings | Change the workspace itself. |
| Create / Edit / Delete collections | Make collections, change their settings, schema and pages, and delete them. |
| Add / Edit / Delete entries | Work with the entries of collections. |
| Manage encryption & passwords | Protect collections and entries, and see the activity log. |
Tip. A role with no permissions is a reader: it can see what it has access to and change its own personal values. That is often exactly what a family member or a guest needs.
