Guide / Administration

Workspace settings, trash and activity

Everything that belongs to one workspace: its members, its trash and the log of who did what.

The workspace menu in the top bar has three entries besides switching and creating workspaces: Settings, Trash and Activity.

The workspace menu.

Settings

Members and roles (see Members and roles), the invitation links, the workspace password and, at the bottom, the Danger zone with Delete workspace, which sends the workspace and all it contains to the trash.

Trash

Deleted workspaces, collections and entries wait here for the retention period (30 days by default; the operator sets it), then are erased for good. Restore or Delete forever, one by one or several at once.

Activity: who did what

A stream of events: creating, changing and deleting collections, entries and files; members and roles; access rules; exports; passwords. Each line has the time, the person (their name is kept even if the account is deleted later), the action, the object and details. Filter by person, action, kind of object and date, load more, and download it as CSV. It is opened from the workspace menu and from a collection’s Activity button, already filtered to that collection. Only people with the “Manage encryption & passwords” permission see it (by default, the Owner).

The activity log.
Note. The log does not reveal protected content. For a collection with a password or encryption, the lines about entries and files remain (who, what, when) but titles and details are hidden. The log is kept for a period the operator sets (365 days by default).
